Privacy Policy
1. Introduction
FlowState AI ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, and your rights regarding your data. By using the FlowState AI app, you agree to this policy.
2. Information we collect
We collect only what is necessary to provide the app's features:
- Energy check-ins — your daily scores for clarity, energy, vibe and focus capacity (numbers 0–10), your mood emoji selection, and the date of each check-in.
- Tasks — task titles, effort level, estimated duration, category, completion status and completion date that you enter into the app.
- Focus sessions — session start time, duration, planned duration, the task name, completion status and your energy level at the time.
- Daily challenges — the challenge shown to you, its category, and whether you marked it complete.
- Weekly reports — AI-generated report text based on your aggregated usage data.
- App preferences — your display name (optional), notification settings, focus preferences and weekly goal.
We do not collect your email address, phone number, location, contacts, photos, health data, payment information, or any government-issued identifiers.
3. How we use your information
- To match tasks to your energy level using AI
- To generate your personalised weekly productivity report
- To display your focus history, streaks, stats and trends within the app
- To generate your daily challenge based on your mood and energy
- To send optional notification reminders (only if you enable them)
- To sync your data across your own Apple devices via iCloud (only if you enable this)
4. Data storage and security
All your data is stored locally on your device using Apple's standard storage APIs. If you enable iCloud Sync, your data is additionally stored in your personal iCloud Key-Value storage — accessible only to you and governed by Apple's iCloud Terms and Privacy Policy. We do not operate any servers, databases or cloud infrastructure that store your personal data.
5. AI features and third-party processing
FlowState AI uses artificial intelligence to generate task recommendations, weekly reports and daily challenges. To do this, anonymised prompts are sent to OpenAI's API via a secure proxy server. These prompts may include:
- Task titles you have entered
- Aggregated energy scores (numbers only)
- Focus session statistics (e.g. "completed 3 sessions this week")
We do not include your name, Apple ID, device identifiers or any directly personally identifiable information in these prompts. OpenAI processes this data subject to their own Privacy Policy. OpenAI does not use API data to train its models by default.
6. Third-party services
FlowState AI integrates with the following third-party services:
- OpenAI — for AI-generated content (task match explanations, weekly reports, daily challenges). Subject to OpenAI's Privacy Policy.
- Apple iCloud — for optional cross-device data sync. Subject to Apple's Privacy Policy.
- Apple App Store & StoreKit — for subscription and purchase management. Subject to Apple's Privacy Policy.
- Apple Push Notification Service (APNs) — for local notification delivery. No personal data is shared with Apple beyond what is standard for APNs operation.
We do not use any advertising SDKs, analytics SDKs, social login, or tracking technologies.
7. Data retention
Your data is retained on your device until you delete it. Focus sessions are limited to the most recent 200 entries automatically. You can delete all data at any time by going to Settings → Clear All Data within the app. Since we store no data on our own servers, this action permanently and completely removes all your FlowState AI data.
8. Your rights
Depending on your location, you may have the right to access, correct, export or delete your personal data. Since all data is stored on your own device and iCloud account, you have full control at all times:
- Access & export — use Settings → Export Data within the app
- Delete — use Settings → Clear All Data, or delete the app
- Correction — edit any task, check-in or preference directly in the app
9. Children's privacy
FlowState AI is not directed at children under the age of 13 (or 16 in the European Union). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will take appropriate action.
10. California privacy rights (CCPA)
If you are a California resident, you have the right to know what personal information is collected, to request deletion, and to opt out of the sale of personal information. FlowState AI does not sell personal information. All rights described in Section 8 apply to California residents.
11. Changes to this policy
We may update this Privacy Policy from time to time. We will update the "last updated" date at the top of this page. Continued use of the app after changes constitutes your acceptance of the revised policy. For significant changes, we will provide a notice within the app.
